Which online stores offer the best 2026 early bird discounts?

Im losing my mind trying to get ahead of the curve for our 2026 production schedule and its like hitting a brick wall. Usually by the time October rolls around, I can already see the next-next year calendars opening up for bulk equipment orders and the early bird travel tiers but this time around every single site I visit is either showing grayed out dates or these insane placeholder prices that make no sense. Ive been managing logistics for my small event crew since 2015 so I know the drill with vendor cycles and hitting those Q4 windows to save on the bottom line but for some reason 2026 is feeling totally different.

We have this massive 12-city tour through the PNW booked for early 2026 and I have about 15,000 dollars set aside for a full gear refresh - specifically looking at new lighting rigs and some high-end comms systems - but the usual spots like Adorama or even the specialized pro-audio shops havent dropped their early bird promos yet. Its urgent because I need to get these invoices processed before the end of our fiscal year to keep the accountants happy and if I wait until January 2025 to book for 2026 I know the prices are gonna jump 20 percent like they always do when the demand spikes. I even tried some of the international wholesale sites I occasionally use for cables and rack mounts but even they are being weirdly cagey about 2026 pricing which is making me super anxious because I gotta get these numbers locked in like... yesterday. Is it just too early or did I miss a memo about the booking windows shifting for the 2026 cycle? Ive been in this game since 09 and 2026 is feeling slow. Back in 2020, I hit this same wall where sites stayed grayed out. I found that call-in quotes beat web prices every time for locking in fiscal year spend. It is a decent option if you need to burn budget now.

Like someone mentioned, the websites are lagging, but checking out Full Compass for bulk quotes usually saves me way more than the early bird retail stuff. Im always satisfied with the margin they give for fiscal year spend. To stay on budget, grab the ADJ American DJ Mega Hex PAR LED Wash for lighting, cheap and bulletproof. Also had zero complaints with the Eartec UltraLITE 4-User Wireless Intercom System for tour comms.

Been looking into the 2026 stuff too and honestly its a mess right now. If you need to dump that 15k before the fiscal year ends you might have better luck looking at B&H Photo Video since they usually have a dedicated pro sales team that handles future-dated POs better than the automated checkout. Most sites arent updating their web portals for 2026 until at least late November this year. A few things to look at that might still have current pricing you can lock in for that tour:

If you are sitting on 15k and need it gone by December, waiting for a web portal to update is a gamble. Those big sites are mostly automated and their 2026 pricing logic is usually broken this early. I suggest looking at more pro-distribution channels where you can lock in a contract price now. Here is how some of the gear stacks up for a tour like yours:
